Job Description:

Background

The Institute for Peace and Security Studies (IPSS) is an African institution with the mission to promote peace and security in Ethiopia and Africa through education, research, and professional development. The Institute trains skilled professionals in conflict prevention, management and resolution as well as in peacebuilding, and promotes the values of a democratic and peaceful society.

Objective

The Executive Programme Assistant will execute and support administrative tasks and programme assistance to IPSS and APSP Directors and the Tana Forum Governance and Institutional Development Unit in coordination with her/his supervisor.

Responsibilities

  • Provide support to IPSS and APSP directors in scheduling meetings (internal and external);
  • Assist Tana Forum Governance and Institutional Development Unit;
  • Coordinate travel of IPSS and APSP Directors;
  • Organize staff and unit heads coordination meetings;
  • Taking minutes and developing reports from meeting outcomes;
  • Follow-up on decisions and recommendations from Management and Coordination Meetings;
  • Assist in organizing staff and management retreats;
  • Collating and consolidating the annual institutional work-plan in liaison with the coordinator and updating it bi-annually;
  • Assist in organizing Tana Forum Board and Technical Committee meetings;
  • Perform any other task as assigned.
Job Requirements:

Qualifications

  • MA in social sciences, preferably in peace and security studies, political science, global studies, development studies or any other related field of study.
  • Excellent knowledge of the African development landscape in the field of peace and security
  • Excellent writing and research skills.
  • Very good knowledge of ICT tools for data collection.
  • Excellent written and verbal communication skills in English.
  • Minimum one-year work experience in similar research activities.
  • High academic performance is an added advantage.

  • Ability to manage various priorities
  • Self-Initiative and ability to work with minimum supervision.
  • Ability to work under pressure and stringent timelines.
  • Fluent in English, both written and oral
