BeMedia is a production company established in Ethiopia; and it is an exclusive media content provider to Kana Television.

Kana Television is an Ethiopia-focused general entertainment, free-to-air, satellite TV channel. Its line-up covers a rich selection of homegrown content combined with an unbeatable selection of popular international entertainment programs, entirely dubbed in Local Language’s.

Our busy, client-focused office needs a reliable, well-organized a person who doesn’t mind wearing multiple hats.

Office Manager should be able to ensure the smooth running of the office and help to improve company procedures and day-to-day operation.

The Office Manager will serve as the initial point of contact for the office, managing inquiries via phone and in person. Additionally, the Office Manager will provide comprehensive administrative, operational, and financial support to employees and management. Reporting directly to the HR Manager , the Office Manager will  play a crucial role in ensuring the smooth functioning of the office.

DUTIES & RESPONSIBILITIES:

Operational Responsibilities:

  • Supervise and facilitate the operations of cleaning, catering, and security teams and services.
  • Fleet supervising and managing vehicle vendors.
  • Maintain updated inventory of all office supplies and equipment.
  • Organize office layout and ensure maintenance of supplies and equipment.
  • Enforce relevant office policies; measure results against standards; making necessary adjustments.
  • Answer and route all incoming calls in a timely and courteous manner to the appropriate staff member with the caller’s name, reason, and other necessary information.
  • Maintain office services by organizing office operations and procedures; controlling correspondence; designing filing systems; and assisting with clerical functions.
  • Maintain office efficiency by planning and implementing office systems, layouts, and resource allocation.
  • Co-ordinate and manage events assuring alignment of various vendors.

Administrative Responsibilities:

  • Organize and schedule meetings and hold minutes.
  • Assist in the onboarding process for new hires.
  • Plan and organize in-house or off-site activities.
  • Maintain strict confidentiality regarding all business and employee matters.
  • Provide administrative support to key top-level Managers.
  • Ensure all employees meet time & attendance and dress code requirements.
  • Arranges and drafts letters.

Financial Responsibilities:

  • Manage vendor contact list, ensuring oversight of negotiations for competitive pricing and quality products.
  • Ensure accurate tracking of expenses incurred for office supplies, canteen provisions, and event-related expenditures, and provide detailed reports as required.
  • Handle payment of petty cash expenses.

Reports to:   HR Manager

Required no: 1

Schedule:   Monday to Friday 8:30am – 5:300PM, Saturday –as needed.

Job Requirements:

QUALIFICATION AND DESIRED SKILLS:

  • Associate/Bachelor’s degree required (B.A. or B.S. preferred)
  • 5 + years of management experience, out of which 2 Years in a similar role.
  • Proficiency in Microsoft Office suite (Word, Excel, PowerPoint, Outlook) and other commonly used office packages and strong typing skills
  • Fluency in English writing, speaking and proficiency in responding to letters, emails, and general correspondence by consulting with the concerned offices.
  • Experience with tracking expenditure in line with budget.
  • Excellent interpersonal, written, and verbal communication skills
  • Excellent organizational and time management skills
  • A problem-solving approach to work
  • Ability to priorities tasks and work under pressure
  • Attention to detail and ability to follow instructions.
  • Highly organized, team player, and self‐starter
  • Ability to grow with the job and the organization.
  • High ethical standards.
  • Ability to quickly respond to employee’s enquiries and complaints.
  • The ability to manage your own workload and supervise the work of others concurrently.
