- Position Summary
- The School Office Manager serves as a support for a school. The manager organizes, directs and performs varied and complex clerical and secretarial work with confidentiality and sensitivity. In performing duties, responsibilities and tasks, the individual utilizes independent judgment, initiative, tact, patience and courtesy.
Responsibilities include:
- Supervise the day-to-day work of the administrative function of the school office
- Supervise the administrative staff as appropriate
- Ensure all visitors receive a warm welcome and in accordance with safeguarding procedures of the school.
- Provide hospitality as required
- Manage phone calls to parents, faculty and external clients
- Manage appointments with the HoS, Deans, and parents as needed
- Manage the office and provide secretarial support to the school and staff as required;
- Maintain the academic year calendar, screen calls, receive visitors and respond to requests for information and assistance as appropriate;
- Establish and maintain confidential files, discipline committee letters, student records, etc
- Respond to routine letters, emails, and general correspondence by consulting with the concerned offices
- Maintain and update student contact and emergency information
- Maintain student attendance records
- Print and prepare student report cards for parents with the direction of the Dean of School/academic Deans
- Facilitate school wide programs (Orientation, conferences, PTA events, etc…)
- Other tasks and responsibilities will be assigned by the Head of School and Executive Assistant Office
- Job Requirements:
- Requirements
- Proven experience as an Office Manager, Administrative Assistant or related role
- Excellent organizational and leadership skills
- Outstanding communication and interpersonal abilities
- Excellent knowledge of MS Office, databases, and information systems
- BSc/Ba in Business Management or relevant field; MSc/MA will be a plus
- Fluency in English writing and speaking
Work experience
- Minimum 3 years of work experience, preferably in education and/or business or operations management
