Job Description:
The role

As the Executive Secretary to the CEO of Lemi National Cement, you will play a vital role in providing administrative and secretarial support to the CEO, facilitating smooth communication, and ensuring efficient coordination of tasks and schedules. Proficiency in Chinese language, both written and spoken, is mandatory for this role. 

Responsibilities:

Executive Support

  • Act as the primary point of contact for internal and external stakeholders in interactions with the CEO.
  • Manage the CEO's calendar, schedule appointments, and coordinate meetings, ensuring timely reminders and preparation of necessary materials.
  • Handle correspondence, emails, and phone calls on behalf of the CEO, responding promptly and professionally.
  • Prepare and distribute meeting agendas, minutes, and other documents as required.
  • Assist in preparing presentations, reports, and business documents in Chinese, Amharic, and English languages.

Administrative Assistance

  • Manage travel arrangements and accommodations for the CEO, including visa applications and itinerary planning.
  • Maintain organized filing systems, both electronic and physical, ensuring confidentiality and accessibility of documents.
  • Handle administrative tasks and special projects assigned by the CEO.

Communication and Liaison

  • Translate and interpret verbal and written communications between the CEO and Chinese-speaking stakeholders, as well as with Amharic-speaking counterparts.
  • Facilitate effective communication between the CEO and internal departments, subsidiaries, and external partners.
  • Serve as a liaison between the CEO's office and other departments, ensuring seamless information flow and collaboration.

Job Requirements:
Qualification
  • Bachelor’s degree in business administration, or a related field.
  • Proven experience as an executive secretary, personal assistant, or similar role, preferably supporting C-suite executives.
  • Proficiency in Chinese language (Mandarin), both written and spoken, is mandatory.
  • Excellent communication skills in English and Amharic, both verbal and written.
  • Strong organizational and multitasking abilities, with attention to detail.
  • Discretion and confidentiality in handling sensitive information and business matters.
  • Proficiency in office productivity tools such as Microsoft Office Suite.
  • Ability to work independently, prioritize tasks, and meet deadlines in a fast-paced environment
