Administrative Officer Key Functions
- Assist the Human Resources department in administrative tasks
- Ensure an attractive, pleasant and neat reception area that is maintained at all times
- Update calendars and schedule meetings/appointments
- Process payments for flight tickets and hotel accommodations
- Organize workshops and meetings
- Answer, screen and forward any incoming phone calls while providing basic information when needed
- Receive and sort mail/deliveries/couriers
- Arrange flight booking, vehicle rental and accommodations for staff and guests. Settle payments accordingly
- Follow up stationary acquisition
- Ensure printing paper and cartridge is ready for internal users
- Ensure the functionality of common printers & photocopy
- Design a filling system or maintain a case file for all government, non-government and any communications
- Ensure all documents are kept in a way to be retrieved easily and timely
- Assist the HR Department in organizing and scheduling interviews
- Write different correspondences to government and non-government organizations
- Send out visa invitation letters for EthioChicken visitor’s coming from outside Ethiopia
- Assist the Senior Leadership Team in administrative related issues
- Work with the government in processing immigration, work permit, residence ID issues in relation to expatriates and others
- Renew valuable business documents like business license, etc...
- Oversee upkeep and organization of office environment
- Assist all department on other secretarial activities
- Perform other relevant duties as requested
- Job Requirements:
Competences
- Computer skill in MS-Word, Ms-Excel, Outlook and other application
- Typing skills, both in Amharic and English
- English and Amharic languages
- Professional appearance
- Strong communication skills
- Willingness to multi-task and work on own initiative
- Proactive, energetic, and team player personality
Education Qualification
- BA in Management or related field of study
