Job Description:

Job Summary:

The retails operations Co-manager, reporting to Managing director, has a responsibility of managing all aspects of departments within Mamokacha retail operations including the coffee shops, food and beverages production and cost control, kitchen, pastry & bakery and housekeeping. Assist and participates in the efforts of budgetary plans, sales forecasts and materials requirement planning, guides and overlooks the process of purchase requisitions and stock issues and dispatches through coordinating the efforts of F&B cost controllers. In charge of ensuring that, each department delivers a consistently high standard of customer service. Also, achieve business objectives and maximize the profitability of all coffee shops and the F&B production units. Maintain effective cost controls in all production and service areas.

Managerial/supervisory responsibilities:

-        Managing and directing the daily operations of all retail operations department

-        Guidance and support to the retail operations department staff through coaching and training

-        Leads the effort of consumption planning and forecasts, through identification of anticipated materials requirements based on consumption needs through a coordinated efforts of; coffee shops the F&B production of retail operations, purchasing and supplies manager, warehouse, finance and other functional units

-        Develops Materials requirement plan and other budgetary plans

-        Leads the efforts of purchase requisition review and approval based on Materials requirement plans

-        Review of the plan or forecast for completeness and other checks including quantity, quality checks and required by dates

-        Creates delivery schedules to coffee shops for all grocery and F&B products to all coffee shops and to the kitchen

-        Ensure SOP implementation in all departments and check the same during routine operational checks

-        Inspect all departments for SOP implementation

-        Performance evaluations of subordinates

-        Enforcing company rules and regulations

-        Ensure all health and legal requirement and regulations are adhered to

-        Ensuring periodic and regular operational plan checks are in place

-        Develops safety and security procedures and guidelines, and ensures their adherence

-        Evaluate performance and ensure compliance with health and safety rules

-        Emergency management and business continuity planning 

Position duties or responsibilities

-        Assist in the preparation of the annual, quarterly budgeting and monthly forecasting processes of the retail operations

-        Direct the process of routine and periodic purchase Requisition process for planned bulk purchase intervals on quarterly basis prepared for all coffee shops including the production unit for all item categories

-        Support and work with all coffee shop managers in all aspects of running the cafes

-        Prepare consumption forecast plans based material acquisitions based on individual stores sales forecasts

-        Prepare Materials Requirements plan based on sales forecast and provide monthly and weekly updates to the plan based on actual consumption and sales

-        Monitors, reviews and approves consumptions needs

-        Monitor the purchase planning and requisitions of each department

-        Assist and collaborates with the supply chain and logistics manager in dealing with Suppliers / Vendors for quality products involving procurement head and providing performance assessment of vendors every quarter to head of the supply chain and logistics

-        Direct and coordinate the process of stock receiving and issues in aspects including inspection and quality checks of incoming and outgoing shipments for store and F&B production area

-        Conducts routine and surprise random inspecting the stores (F & B / Kitchen) to check the stock in hand (quality, par stock levels, expiry etc.) with the F & B Manager & Chef

-        Monitor the co-ordination between all departments for smooth & efficient operations, including finance, procurement, warehouse and management

-        Engage in a contentious customer satisfaction assessment and review

-        Provide required coaching support of all staff in collaboration with all department heads, coffee shop managers and supervisors

-        Identify staff training gaps and provide development assistance

-        Conduct weekly / Daily meeting with coffee shop managers for enquiry & follow up & conversion to grow up the business

-        Work with cost controller department on all aspects of F&B production, including Menu Revisions, Provision of Recipe, and Portioning and for controlling all the production inputs to the production unit and outputs produced Monitoring and controlling the cold room, refrigeration and room temperature storage requirements

-        Directs and supervises the cost controlling process in conjunction with the cluster controller and cost controllers assigned to each coffee shop

-        Supervises cost controlling through observing the food production area, collecting all branch daily sales, voids & balance sheet, collect store issues to each Coffee shop

-        Solving work environment issues

-        Communicate with Café managers/supervisors on deliveries (Requested vs Delivered) 

-        Overlooks the cost controlling of receiving products check quantity and quality of deliveries to cafés

-        Controlling the daily inventory balance and daily, recording of cafe balance sheet and reports, through collaboration with cost controllers at coffee shops

-        Handling breakage/damages or spoilage reporting and store voids in conjunction with branch manager and supervisor

-        Leads the and overlooks end of month inventory 

-        Ensure on time daily sales deposits

-        Responsible for analysis and reporting of sales revenue, average spending per person, determine cost of sales for each café for all daily F&B items issues

-        Partake in financial activities including establishing portions, menu items and price rates, setting budgets, and assigning funds to departments

-        Ensure the daily sales amount is reconciled against the sales summary

-        Directs and leads the efforts of periodic financial reporting, consumption report prepared every 10 days and monthly F&B actual cost reconciliation

-        Assist in event planning, hosting and catering activities

-        Carry out regular inspections of all departments in the areas of guest service delivery, cleanliness, presentation, service delivery, employee presentation and grooming

-        Perform other tasks assigned by management

Job Requirements:

Skills Required:

-        Strong leadership skills to effectively manage and motivate a high-performing team to exceed targets

-        Strong analytical skills to understand key business indicators and competitive trends and develop approaches to counter these challenges

-        Experience in retails and hospitality business, with knowledge and understanding of materials and equipment used in the retail business, hotel and hospitality is required

-        Confirmed skills and abilities of planning, creating policies and guidelines to carry the operations management  

-        Budgetary and planning skills, sales estimates, consumption forecasts and materials requirement planning

-        Risk management and mitigation skills

-        Effective cross functional collaboration skills

-        Excellent communication skills verbal & written

-        Proven strong organizational and leadership skills

Qualifications:

-        Educational Requirements: BA Degree in Sales & Marketing Management, Hotel Management/Food and Beverage Services or related fields of study

-        Work Experience: 4+ years of Retail Operations/Hospitality  Management/Catering Production Operations in Hotel Industry in a managerial role
