Job Description:

Job summary

Under the supervision of the Project Coordinator, the Project Assistant is responsible for providing administrative and operational support to Global Fund team within implementation towns of Oromia regional state. The Project Assistant will provide effective support and assistance to the team to ensure smooth project implementation in line with ISHDO rules and regulations.

She/he is responsible to performs a variety of administrative and logistical services in support of the project and assists with information to the team. She/he is responsible to processes TOR, Advance request and settlement including procurement services 
Job responsibilities
  • Provide administrative support to the project team;
  • Assist the project team in requesting and tracking on the procurement of goods and services;
  • Support field office staff in facilitating financial settlement in collaboration with finance department; 
  • Support in preparing and submitting purchase requests for relevant activities after discussion with the program team members;
  • Facilitate and follow the submission of TOR and budget request by technical team to the finance department;
  • Support in creating and archiving files and electronically received information, and ensure up-to- date filing; 
  • Assisting in the planning and overseeing of significant events and administrative activities;
  • Reserving equipment and conference rooms for presentations and in-office meetings; 
  • Attending to all administrative activities and queries related to the program;
  • Support the team during meetings and conference including the preparation and distribution of documents;
  • Performs other related duties in accordance with instructions from team members.
Reports to: Project Coordinator – Global Fund
Job Requirements:
Required education and experiences
  • BA/Diploma in Business or public administration or related field of study
  • 2/4 years of progressively responsible experience with administrative tasks.
  • Experience in working in a computer environment using multiple office software packages.
  • Work experience in administrative support of development program/project is required 
other skills
  • A strong team player with excellent interpersonal skills and the ability to work in a fast-paced environment.
  • Able to work effectively with multiple teams, balance and prioritize multiple requests.
  • Excellent working knowledge of Microsoft suite and efficient use of internet.
  • Proven ability to build and maintain positive working relationships
  • Strong interpersonal skills and positive professional attitude
  • Language proficiency in written and spoken English, A/Oromo, and Amharic
