Job Description:
 BASIC SPONSIBILITIES:

 • Operational

•  To assist, coordinate and implement events acquisition activities of Hyatt Regency Addis Ababa administratively and otherwise.  To, implement, maximize and monitor activities of the Rooms & Catering Department, so as to secure new and repeat business for the hotel, thereby supporting to meet and exceed the projected revenue goals of the department.

•  To create event proposals which fit guests requirements and presenting proposals by deadline.

•  Maintaining a working relationship with vendors and venues.

•  Planning event aspects, such as venue, seating, dining, and guest list.

•  Demonstrating superior product knowledge of the hotel, competing hotels and taking guests on tours of venue possibilities.

•  Coordinating event entertainment, including music, performers, and guest speakers.

•  Managing and overseeing events on the day of, including problem-solving, welcoming guests, directing event set-up, communicating with staff, and organizing vendors.

•  To maintain a perpetual analysis of key accounts in the Addis Ababa market.  To have a thorough knowledge of competitive marketing, business strategies in the Addis market and of competitive cities and destinations outside Addis Ababa for specific business segments.

•  To obtain and maintain an awareness of community, business, political and social factors which may affect the Hotel’s financial objectives.

•  To ensure that utilization of various technology and software is maximized and that clean data is maintained at all times.

•  To ensure a high level of exposure for the hotel through direct sales solicitation, telephone contact and written communication.

•  To explore new markets and potential accounts for follow up by the Rooms & Catering Team.

•  To establish, maintain, review event files to ensure correct booking procedures, including group room and meeting program history, catering set up and themes, contractual agreements, etc.

•  To establish and maintain close cooperation and communication with all hotel departments, Hyatt Regency Addis Ababa.

•  To meet up with all conference buyers, event organizers and wedding couples, contacts for social and corporate functions at least once during their visits to thank them for their business.

Customer Service

•  Provide excellent service to external customers, as well as internal customers in other departments.

•  Communicates all guest and internal customer complaints and inquiries to Director of Sales and Marketing and following through as directed.

•  Maintains positive guest and colleague interactions with good working relationships.

Financial

•  Maximizes employee productivity through the use of multi-skilling, multi-tasking and flexible scheduling to meet the financial goals of the business as well as the expectations of the guests.

•  Creating sales opportunities for future events during client liaisons and during events, including possessing a strong working knowledge of the company to further these sales opportunities

•  To maintain booking files with complete and supported records of all sales agreements, contracts and quotes for the hotel as per Hyatt International Policies and Procedures.

•  To closely work together with the Food & Beverage team on the catering product, costing and pricing.

 Marketing

•  Ensures a high level of exposure for Hotel through direct sales solicitation, telephone contacts and written communications.

Administration

•  To ensure that an accurate and efficient filing system (electronic & manual) is maintained at all times.

•  To ensure to regularly update all records of catering accounts.

•  To ensure that all meetings are well-planned, efficient and results oriented. 


Job Requirements:

EDUCATION:  Relevant Degree or Diploma in Hospitality/Tourism management or Marketing Management.

Ideally with a relevant degree or diploma in Hospitality or Tourism management. Minimum 2 years work experience hotel operations. Good customer service, communications and interpersonal skills are a must.

 EXPERIENCE:    Minimum 2 years work experience in hotel operation, sales coordinator or related positions in designated 5 star Hotel
